We are currently accepting resumes for the position of Third Party Coordinator based in Cold Lake. This is a 7 month (approx.) duration with the contact ending September 2018. LOA is provided with proof of residency.
Summary of Role
Provide the Execution Team with support to manage the day to day affairs of the assigned projects for all phases of maintenance work. This includes, but is not limited to, the coordination of all of Tartan’s third party contractors, the coordination of all Work Order Releases and subsequent Change Management documentation, Material Coordination, as well as Cost Tracking, Performance Reporting and Job Closeout
Responsibilities and Expectations:
As a key member of the area execution team, the Execution Coordinator will be responsible for the successful coordination of execution activities to support the maintenance of heavy oil infrastructure. This will include, but is not limited to:
- Understand Tartan’s safety management system, policies, procedures and values;
- Assist in developing and maintaining a strong working relationship with the owner's Maintenance Management Team;
- Support the development and execution of project specific functional plans;
- Engage in formal correspondence with vendors and subcontractors (i.e. Request for Quotes, etc.);
- Act as liaison with subcontractors in expediting drawings and related information;
- Understand the work to the point of clarifying the scope for potential subcontractors;
- Analyze and compare vendor submittals for award;
- Prepare and issue field level Work Releases and Change Orders under the terms of a Master Service and Supply Agreement;
- Understand and enforce Tartan’s Supply Chain Management procedures, including proper requisitioning and coding structures;
- Understand and enforce Tartan’s IOR-specific contractual obligations around third party management and award;
- Enter field level data into Tartan’s enterprise application on a daily basis for internal and external reporting requirements;
- Understand and report on project progress and commitments;
- Close out of completed work orders
- Participate in Tartan’s continuous improvement initiatives;
- Understand and perform document control functions in accordance with on-site policies and procedures, including tracking and transmitting of submittals;
- Attend project coordination and owner/contractor meetings as requested;
- Perform additional assignments and responsibilities as assumed or requested by supervision;
- Any other duties requested by the Site Management team or Site Manager.
Qualifications
- Post-Secondary education as well as previous course work in Purchasing or Supply Management (e.g., PMAC level 1) would be an asset
- 3 – 5 years’ experience in a procurement environment
- Proven ability to obtain cost effective and high quality goods and services
- Valid H2S Alive ticket is mandatory for site access
- Valid CSTS
- Valid Standard First aid ticket is mandatory for site access
- Valid driver’s license (abstract required)
- Ability to work independently and in a team environment
- Microsoft Word, Excel, Access computer experience
